Title Scheduling Coordinator
Reports to Operations Manager
JOB SUMMARY
Schedules rehearsals for ensembles. This includes interfacing with staff of the organization and rehearsal venues, maintaining the calendar, and other communication with venues. Ensures that ensemble rehearsal schedules will be protected, and the organization maintains good relations with venue partners.
DUTIES & RESPONSIBILITIES
- Coordinates with ensemble directors, ensemble managers, and chamber ensembles to schedule and confirm rehearsal bookings.
- Monitors the organizational calendar to ensure scheduling conflicts between events are avoided when possible and inform ensemble staff of potential conflicts when they arise.
- Coordinates with venues to secure rehearsal reservations for ensembles and chamber groups.
- Leads communication with rehearsal venue staff including changes in schedule, issues with accommodations, or meeting contractual requirements.
- Attends the monthly departmental meeting and coordinate with other staff as needed.
- Utilizes effective communication and interpersonal skills that align with and support the organization’s Mission and Core Values.
- Complies with the organization’s by-laws, policies, procedures, and member covenants; seeks clarification and guidance as necessary.

- Proven interpersonal and communication skills.
- Proficiency with digital calendar applications.
